Artificial Intelligence Policy

This Artificial Intelligence Policy was last updated and is effective as of December 22, 2025

IF YOU DO NOT AGREE WITH THIS AI POLICY, YOU MUST NOT USE ANY AI-POWERED FEATURES OF THE IGNIS PLATFORM. IF YOU CONTINUE TO USE THE SERVICES, YOU ARE DEEMED TO HAVE ACCEPTED THIS AI POLICY IN FULL.

1. Overview

This Ignis AI Policy (“AI Policy”) describes the rules, responsibilities, and limitations governing your use of artificial intelligence features and automated analytics (“AI Features”) provided by IGNIS AI LLC (“Ignis,” “we,” “us,” or “our”).

This AI Policy is incorporated by reference into the Ignis Terms of Use and forms part of the legally binding agreement between you and Ignis. Capitalized terms not defined here have the meanings given in the Terms of Use.

If you do not agree to this AI Policy, you may not use AI Features and must discontinue use of the Services.

2. Scope of AI Features

Ignis provides AI-powered tools designed to assist with skills assessments, behavioral insights, predictive analytics, workflow support, and talent development. These AI Features may include:

AI-generated summaries, explanations, and recommendations
Predictive scoring, insights, or rankings
Behavioral or skills-based analysis
Automated suggestions, interpretations, or pattern detection
Workflow automation and AI-enabled content generation

AI Features are designed to support decision-making, not replace human judgment, and are not a substitute for professional evaluation, hiring expertise, or human discretion.

3. Submission & Processing of Content

When you submit or provide any User Content—such as text, responses, recordings, data, files, prompts, or uploaded materials—to Ignis, such User Content may be processed by AI Features.

By submitting Content, you grant Ignis all rights necessary to:

analyze, process, transform, and interpret Content using AI Features;
generate insights, summaries, recommendations, or other outputs;
train, improve, validate, and develop Ignis AI models (as permitted under the Privacy Policy);
create aggregated, anonymized, or de-identified datasets;
support platform functionality, diagnostics, research, and enhancement.

All such rights are granted under Section 6 of the Terms of Use and are further described in the Privacy Policy.

4. Responsibilities, Representtions & Warranties

By submitting any User Content and using AI Features, you represent and warrant that:

You have obtained all necessary rights, authority, permissions, and legal bases required to submit the User Content to Ignis for AI processing.
The submission of User Content does not infringe, misappropriate, or violate any third-party rights, including intellectual property, privacy, publicity or contractual rights, and does not breach confidentiality obligations or employment-related restrictions.
Where the User Content contains personal data—including that of candidates, employees, or third parties—you have provided all required notices and obtained all legally required consents, including those required under employment, privacy, data protection, or AI-specific laws.
You will not submit content that you know or suspect to be protected by copyright, trade secret, or contractual confidentiality obligations unless you are legally permitted to do so.

Ignis may suspend or terminate access to AI Features for violations of this section.

5. Prohibited Uses of AI Features

You may not, and you agree not to:

Use AI Features to generate unlawful, discriminatory, fraudulent, or harmful content;
Use AI outputs as the sole basis for making hiring, promotion, admission, or placement decisions;
Reverse-engineer or attempt to extract model weights, architecture, or proprietary algorithms;
Submit malicious code, harmful data, or content designed to manipulate or corrupt model behavior;
Misrepresent AI-generated outputs as human-authored unless required disclosures are provided;
Use AI Features in violation of any applicable law or regulation relating to automated decision tools or employment practices.

Ignis may suspend or terminate access to AI Features for violations of this Policy.

6. Accuracy, Limitations & Human Oversight

AI Features may:

contain inaccuracies, biases, or incomplete information;
require human review, interpretation, and validation;
not be guaranteed to be correct, comprehensive, or appropriate for every context.

You are responsible for:

ensuring that AI outputs are used appropriately and legally;
verifying outputs before relying on them for decision-making;
complying with applicable employment, anti-discrimination, and privacy laws.

Ignis does not make hiring or employment decisions and does not guarantee outcomes derived from AI Features.

7. Ownership of Outputs & Assessment Data

Consistent with the Terms of Use and Privacy Policy:

You retain ownership of your raw User Content.
Ignis owns all AI-generated outputs and all Assessment Data, including insights, predictions, behavioral indicators, recommendations, analytics, or other derivative works.
Deletion of your personal data does not require Ignis to delete Assessment Data, aggregated derived outputs, or anonymized datasets used to support AI systems.

8. Transparency & Notices Requirements

Where you use Ignis AI Features for evaluation purposes, you are responsible for:

providing all legally required notices and disclosures about the use of automated tools;
ensuring individuals understand that AI is being used to assist evaluation;
responding to requests for explanation, human review, or additional information, as required by law.

Ignis may provide general guidance or resources but does not fulfill these legal obligations on your behalf.

9. Security & Misuse Prevention

Ignis uses administrative, technical, and physical safeguards to protect User Content processed by AI Features.

You must:

maintain the confidentiality of your login credentials;
avoid submitting harmful or unauthorized Content;
promptly notify Ignis of any suspected misuse or unauthorized access;
not introduce malicious code or disrupt AI operations.

10. Disclaimer of Warranties

AI Features are provided “AS IS” and “AS AVAILABLE”, without warranties of any kind, express or implied, including:

accuracy, completeness, or fitness for a particular purpose;
absence of bias, error, or unexpected outputs.

Ignis does not warrant that AI systems will operate uninterrupted, error-free, or securely.

11. Changes to this AI Policy

Ignis may update this AI Policy at any time. Updated versions will include a revised “Last Updated” date. Continued use of AI Features after revisions are posted constitutes acceptance of the updated AI Policy.
